Printable pantry inventory worksheet
See what is in your cupboard, fridge and freezer before you make a shopping list. Add your items, arrange the sheet and print it or download a CSV. No account needed.
Your entries stay in this page’s memory. They are not saved or sent anywhere. Reloading or leaving the page clears the worksheet; download or print first if you want to keep it.
Your inventory
Add each package or batch as its own row. Use the location selector to group items. A date is optional.
Start with an item, or print the empty sheet to fill in by hand.
Up to 100 rows. Clearing the worksheet removes every entry.
Pantry inventory
Dates copy the labels you enter. This sheet does not assess food safety or decide whether food is suitable to eat.
Dates sort earliest first, quantities smallest first and names alphabetically. Undated items stay at the end in either date order.
How to take a pantry inventory
Work through one storage area at a time. Write the item name so you can recognize the package later, then enter how much you have and choose cupboard, fridge or freezer. Keep separate rows for the same food in different places, or for packages with different date labels. Nothing is merged automatically.
Choose a consistent counting unit for each item and put that unit in its name: for example, “Rice (500 g bags)” with quantity 2, or “Flour (kg)” with quantity 0.5. A quantity of zero is kept on the sheet, which can help you note something to buy. Quantities are not added across unrelated items.
An example with separate packages
Suppose you have two bags of rice in the cupboard without a date label, one carton of milk in the fridge labelled 29 February 2028, and another carton in the freezer without a date. Enter four pieces of information for each row: the name, quantity, location and optional label date. Both milk rows stay distinct. Sorting by date changes the order inside each location; it never removes the rice or the undated milk.
Record dates as labels
Copy a best-before date only when you have one. The field is a calendar date, so changing your device’s time zone does not move it to the day before or after. A missing label appears as “No date entered”, not as an expired item. The worksheet does not calculate expiry warnings, give storage advice, or interpret dates as a food-safety decision. Refer to the information on the actual packaging for its instructions.
Use the sheet on paper or in a spreadsheet
The print layout contains your inventory grouped by storage location and the date-label note. Editing controls and navigation are left off the printed page. You can also print an empty worksheet: each storage section has writing space. In your browser’s print dialog, choose a printer or save as PDF. Review the preview and choose the paper size and margins you need.
The CSV follows your selected order and includes item, quantity, location and the original date label in year-month-day form. Choose comma or semicolon to suit your spreadsheet settings. Text that could be interpreted as a spreadsheet formula is prefixed with an apostrophe. A downloaded file is under your control; this page does not upload it or read it back.
